1. About Winrica Adventures

Winrica Adventures Limited is a fully licensed tour operator based in the Kilimanjaro region of Tanzania. We create transformational travel experiences by contracting with a carefully selected network of local suppliers and service providers.

Throughout this document, the following terms are used interchangeably:

  • Safari, tour, itinerary, retreat, and trip — all refer to the travel experience booked with us.

  • Client, guest, participant, member, passenger, and traveler — all refer to you, the person traveling.


2. What’s Included in Your Package

All quoted prices are valid through December 31, 2027, and include the following unless otherwise noted in your confirmed itinerary:


  • Accommodations as described in your itinerary (twin or double rooms; tents where applicable)

  • Meals as specified, plus bottled water during group meals

  • All arrival, departure, and in-country ground transportation

  • Kilimanjaro & mountain treks: licensed, English-speaking guides; a skilled cook; and a full porter team

  • Safari packages: English-speaking driver-guide and skilled cook for camping safaris

  • Zanzibar: English-speaking driver and local guides

  • All national park, game reserve, conservation area, and ocean tour entrance fees

  • All applicable government taxes and fees

  • Safari vehicles with game-viewing equipment and a guaranteed window seat


3. What’s Not Included

The following are not covered by your quoted price unless explicitly stated in writing in your booking confirmation:


  • Passport and visa costs

  • International airfare and airport departure taxes

  • Travel insurance (required for Kilimanjaro treks; strongly recommended for all other experiences — see Section 7)

  • Excess baggage fees

  • Gratuities for guides, porters, drivers, cooks, and crew

  • Personal expenses: beverages beyond included water, laundry, phone or internet charges, personal shopping

  • Upgraded accommodations (family suites, private king suites, etc. — available upon request at additional cost)

  • Any activities, meals, or sightseeing not listed in your confirmed itinerary


4. Reservations & Payments

4.1 Deposit

A deposit of 20–30% of the total trip cost per person is required at the time of booking to confirm your reservation, unless a different amount has been agreed upon in writing. All deposits are non-refundable.


4.2 Final Payment

Your remaining balance is due 60–90 days before your departure date. Failure to pay by the due date may result in cancellation of your booking, and cancellation fees will apply.


4.3 Accepted Payment Methods

  • Credit or debit card via our website booking portal (a 4% processing surcharge applies)

  • Wire/bank transfer (please request wire transfer details in advance)


4.4 Late Bookings

We accommodate last-minute reservations whenever operationally possible. Contact us directly and we will do our best to confirm your booking.


5. Cancellation Policy — Guest-Initiated

All cancellations must be submitted in writing to director@winricaadventures.com. Cancellation requests sent to third-party partners, co-organizers, or any other organization are not considered received by Winrica Adventures until they have been formally forwarded to and acknowledged by Winrica Adventures directly. Please Note: Within 90 days of your departure date, cancellation fees apply regardless of reason. You may also be responsible for additional penalties imposed by airlines, hotels, or other third-party providers as a direct result of canceling your original booking dates.


6. Cancellation by Winrica Adventures

Winrica Adventures reserves the right to cancel any trip under the following circumstances:


  • The minimum number of participants required to operate the trip has not been met

  • Conditions in Tanzania — including but not limited to safety concerns, natural events, government directives, or force majeure events — make it unsafe or impossible to operate the experience

  • A key supplier or service provider is unable to perform, and no suitable alternative is available


6.1 Cancellation Due to Minimum Numbers

If a trip is cancelled because the minimum number of participants has not been reached, Winrica Adventures will notify you no later than 30 days before your scheduled departure date. You will be offered the following options:


  1. A full refund of all amounts paid to Winrica Adventures, issued within 14 business days of cancellation notice.

  2. A credit of equal value, valid for 24 months, to be applied toward any future Winrica Adventures experience.

  3. The option to transfer to an alternative departure date or experience of equivalent value, subject to availability.


6.2 Cancellation Due to Safety or Force Majeure

If a trip is cancelled due to circumstances beyond Winrica Adventures’ reasonable control — including natural disasters, government travel advisories, civil unrest, or similar events — Winrica Adventures will offer a credit or rescheduling option where operationally possible. Where circumstances permit, partial refunds of recovered supplier costs will be issued. Winrica Adventures will not be liable for additional costs incurred by the traveler, including airfare, visa fees, or other non-recoverable expenses. Comprehensive travel insurance is strongly encouraged to protect against these scenarios.


6.3 Limitation of Liability for Cancellation

In the event of a cancellation by Winrica Adventures for any reason, our liability is strictly limited to the total amount paid directly to Winrica Adventures by the traveler. We are not responsible for any consequential costs, losses, or expenses incurred by the traveler as a result of the cancellation, including but not limited to: international airfare, connecting travel, accommodation booked independently, visa costs, or loss of income.


7. Travel Insurance

Travel insurance is mandatory for all Kilimanjaro trek bookings and strongly recommended for all other Winrica Adventures experiences.


Adventure travel — particularly high-altitude trekking — carries inherent physical risks that can result in medical emergencies requiring evacuation. Medical evacuation from Mount Kilimanjaro can cost USD $50,000 or more. Winrica Adventures does not provide medical evacuation coverage and is not responsible for any costs associated with emergency rescue, medical treatment, or evacuation.


7.1 Required Coverage for Kilimanjaro Treks

All guests booked on a Kilimanjaro or other mountain trek must hold travel insurance that includes, at minimum:


  • Emergency medical evacuation and rescue coverage (minimum USD $100,000 recommended)

  • Emergency medical treatment and hospitalization

  • Trip cancellation and interruption coverage

  • Coverage for high-altitude trekking activities (confirm with your insurer that your policy covers activities above 5,000m / 16,400ft)


Proof of qualifying travel insurance may be requested prior to departure. Winrica Adventures reserves the right to deny participation to any traveler who cannot provide evidence of adequate coverage.


7.2 Recommended Coverage for All Other Experiences

For safari, Zanzibar, cultural tours, and retreats, we strongly recommend travel insurance that covers:


  • Trip cancellation and interruption

  • Emergency medical treatment

  • Delay, missed connections, and lost baggage

  • COVID-19 related disruptions (where applicable)


Winrica Adventures accepts no liability for losses, expenses, or disruptions that would have been covered under a standard travel insurance policy.


8. Health, Fitness & Medical Disclosure

By completing a booking with Winrica Adventures, you confirm that you are in good physical and mental health and are aware of the physical demands of your chosen experience. You acknowledge that adventure travel — particularly high-altitude trekking — carries inherent health risks.


8.1 Required Disclosure

You are required to disclose any medical condition, physical limitation, or health history that may affect your ability to safely participate in your booked experience. This includes but is not limited to:


  • Heart or cardiovascular conditions

  • Respiratory conditions, including asthma

  • Diabetes or metabolic disorders

  • History of altitude sickness or altitude-related illness

  • Recent surgery or injury

  • Pregnancy

  • Any condition requiring prescription medication or medical equipment

  • Any condition for which you have been advised to avoid strenuous physical activity


Failure to disclose a relevant medical condition prior to booking may result in your being unable to participate in the experience without refund, and releases Winrica Adventures from any liability related to health outcomes resulting from the undisclosed condition.


8.2 Medical Consultation

We strongly recommend that all travelers consult a qualified physician before undertaking any high-altitude trek or physically demanding experience. Your doctor can advise on altitude acclimatization, appropriate medication (such as Diamox), fitness preparation, and any risks specific to your health profile.


8.3 Right to Withdraw Participation

Winrica Adventures and its guides reserve the right to withdraw any traveler from participation in an experience at any time if, in the reasonable judgment of the lead guide, continuing participation poses a risk to the safety of that traveler or any other member of the group. No refund will be issued for a trip that has begun. We always prioritize the safety and wellbeing of every guest.


9. Assumption of Risk & Participation Waiver

Please read this section carefully. By completing your booking and making payment, you acknowledge and accept the risks described below.


9.1 Acknowledgment of Inherent Risks

Adventure travel and outdoor experiences involve inherent risks that cannot be entirely eliminated. By booking with Winrica Adventures, you voluntarily acknowledge and accept that your experience may expose you to conditions and risks including, but not limited to:


  • Extreme weather conditions, including cold, heat, rain, and high winds

  • High altitude and its associated effects, including Acute Mountain Sickness (AMS), High Altitude Pulmonary Edema (HAPE), and High Altitude Cerebral Edema (HACE)

  • Difficult and uneven terrain that may result in falls, slips, or injury

  • Wildlife encounters that may be dangerous or unpredictable

  • Physical exhaustion, dehydration, and fatigue

  • Remote locations with limited access to medical care

  • Delays in emergency response or evacuation due to terrain and logistics

  • Waterborne illness or food-related illness despite reasonable precautions

  • Transportation risks inherent to travel in East Africa

  • Risks associated with local infrastructure and facilities


9.2 Voluntary Participation

You confirm that your participation in the booked experience is entirely voluntary. You have had the opportunity to ask questions about the nature and risks of the experience prior to booking, and you have received satisfactory answers.


9.3 Release of Liability

To the maximum extent permitted by applicable law, you release, waive, and discharge Winrica Adventures Limited, its directors, officers, employees, guides, contractors, and agents from any and all liability, claims, demands, actions, or causes of action arising out of or related to any injury, death, property loss, or damages suffered during or in connection with your participation in any Winrica Adventures experience, including those resulting from the negligence of Winrica Adventures or its representatives, except in cases of gross negligence or willful misconduct.


9.4 Indemnification

You agree to indemnify and hold harmless Winrica Adventures Limited, its directors, officers, employees, guides, contractors, and agents from any claims, damages, losses, or expenses — including legal fees — brought by you or any third party arising from your participation in a Winrica Adventures experience, or from your breach of these Terms & Conditions.


10. Force Majeure

Winrica Adventures shall not be liable for any failure to perform, delay in performance, or cancellation of any trip or service arising from causes beyond our reasonable control, including but not limited to:


  • Acts of God, including earthquakes, floods, volcanic eruptions, extreme weather events, or other natural disasters

  • Pandemic, epidemic, or public health emergency declared by a national or international health authority

  • Government actions, including travel bans, border closures, curfews, or changes in entry requirements

  • Civil unrest, war, terrorism, or threat of terrorist activity

  • Industrial disputes or labor strikes affecting transportation or services

  • Failure of third-party suppliers due to events beyond their control

  • Infrastructure failure, including road closures, bridge damage, or breakdown of utilities

  • National park or conservation area closures imposed by government authority


10.1 Our Response to Force Majeure Events

In the event of a force majeure situation, Winrica Adventures will:


  1. Notify you as soon as reasonably possible once we become aware of the event.

  2. Work in good faith to identify alternative options, including rescheduling or modified itineraries where possible.

  3. Refund any amounts directly recoverable from suppliers, minus non-recoverable costs already committed on your behalf.


Winrica Adventures will not be responsible for any indirect, consequential, or incidental losses arising from a force majeure event, including costs related to airfare, visas, independently booked accommodation, or any other non-recoverable personal expenses. Comprehensive travel insurance is the primary protection available to travelers in these circumstances, and we strongly encourage all guests to ensure adequate coverage is in place before departure.


11. Photography, Video & Media Consent

Winrica Adventures and its guides may photograph and/or film experiences for use in marketing materials, social media, website content, and other promotional purposes. Our guides may also share photos with guests personally as a courtesy.


11.1 Consent

By completing your booking, you provide Winrica Adventures with permission to use photographs and video footage that may include your likeness, taken during your experience, for promotional and marketing purposes. This includes but is not limited to use on our website, social media channels, print materials, and press.


11.2 Opt-Out

If you do not wish to appear in any Winrica Adventures marketing materials, you must notify us in writing at the time of booking or no later than 14 days prior to your departure date. We will make every reasonable effort to ensure you are not featured in published content. Please note that once materials have been published, removal may not be immediately possible on all platforms.


11.3 Third-Party Platforms

Winrica Adventures encourages guests to share their experiences on social media. When sharing content that includes other travelers, guides, or community members, we ask that you be respectful of the privacy and cultural dignity of all individuals featured, particularly in images involving local community members and children.


12. Governing Law & Dispute Resolution

12.1 Governing Law

These Terms & Conditions and any dispute or claim arising from or in connection with them — including any non-contractual disputes or claims — shall be governed by and construed in accordance with the laws of the United Republic of Tanzania.


12.2 Informal Resolution

In the event of a dispute, Winrica Adventures requests that you first contact us in writing at director@winricaadventures.com and allow us a reasonable opportunity to address your concern before pursuing any formal action. We are committed to resolving disputes fairly and promptly.


12.3 Formal Dispute Resolution

If a dispute cannot be resolved informally within 30 days of written notice, either party may refer the matter to mediation administered by a mutually agreed mediator. If mediation does not resolve the dispute, the parties agree that the matter shall be subject to the exclusive jurisdiction of the courts of Tanzania.


12.4 Time Limitation on Claims

Any claim arising from a Winrica Adventures experience must be submitted in writing within 45 days of the conclusion of your trip. Claims submitted after this period will not be considered.


13. Complaints & Feedback

Winrica Adventures is deeply committed to the quality of every experience. If something does not meet your expectations, we want to know — and we want the opportunity to make it right.


13.1 During Your Trip

If a concern arises during your experience, please raise it immediately with your lead guide or trip coordinator. Most issues can be resolved quickly when addressed in the moment, and your guide has the authority to make reasonable adjustments on-trip.


13.2 After Your Trip

Post-trip complaints must be submitted in writing to director@winricaadventures.com within 45 days of your return. Please include:


  • Your full name and booking reference

  • A clear description of the issue

  • Any supporting documentation (photos, receipts, correspondence)


We will acknowledge your complaint within 5 business days and aim to provide a full response within 21 business days. We ask that you allow us this process before pursuing any other avenue, including public review platforms.


13.3 Public Reviews

Winrica Adventures welcomes honest guest reviews and feedback on platforms such as TripAdvisor, Google, and Facebook. We simply ask that you allow us the opportunity to respond to any concerns privately before posting publicly. This allows us to address issues directly and improve our service — which benefits every traveler who comes after you.


14. Our Commitment to Porter & Crew Welfare

Winrica Adventures is committed to the ethical and dignified treatment of all mountain crew — including porters, cooks, and guides — who make your experience possible. This is not simply a policy. It is a reflection of who we are and the communities we are part of.


14.1 Our Standards

Winrica Adventures operates in alignment with responsible porter welfare standards, including:


  • Fair, above-market wages paid directly and on time

  • Strict adherence to maximum porter load limits (no single porter carries more than 20kg of guest equipment, excluding their personal gear)

  • Provision of appropriate equipment and clothing for altitude and weather conditions

  • Medical checks and access to emergency care on-mountain

  • Lodging and meals provided for all crew during multi-day treks

  • Respectful treatment and professional recognition of all crew members


14.2 The Connection to Our Mission

Many of our mountain crew members are from the same communities supported through our nonprofit, Dealers of Hope Foundation Tanzania. Supporting these men and women — their livelihoods, their families, and their futures — is inseparable from the work we do. When you trek with Winrica Adventures, you are not just climbing a mountain. You are part of something larger.


We encourage all guests to treat mountain crew with respect and dignity, and to consider fair gratuities as part of honoring the extraordinary physical and human effort that supports every summit.


15. Booking Authority & Agreement

The person completing a booking confirms they have the legal authority to enter into this agreement on behalf of all travelers included in the reservation. Payment of a deposit or any partial payment constitutes acceptance of these Terms & Conditions by all travelers covered by that booking, whether or not each individual has personally signed this document.


16. Itinerary Changes

Winrica Adventures reserves the right to modify itineraries when changes to air or ground transportation, safety conditions, weather, government directives, or other circumstances beyond our reasonable control make alterations necessary. We will communicate changes as early as possible and work to preserve the quality and spirit of your experience. Winrica Adventures will not be liable for any additional costs arising from itinerary modifications outside our control.


17. Accommodations

All accommodations and arranged activities are subject to change due to unforeseen circumstances. Every effort will be made to operate experiences exactly as planned. Where changes are required, we will seek alternatives of equivalent or superior quality. Winrica Adventures does not assume responsibility for changes resulting from circumstances beyond our control.


18. Third-Party Services

Winrica Adventures coordinates your experience through a network of trusted local suppliers — including accommodation providers, transport operators, and activity specialists. We reserve the right to subcontract any of our services to qualified third-party providers. While we carefully select all supplier partners, Winrica Adventures is not responsible for the independent acts or omissions of third-party providers.


19. Baggage

All baggage and personal effects remain the sole responsibility of the traveler throughout the trip. Winrica Adventures does not accept liability for loss, theft, or damage to personal items. Some internal flights within Tanzania have luggage weight restrictions; these will be communicated in your confirmed itinerary. We recommend keeping valuables and essential medications in your carry-on or personal bag at all times.


20. Pricing & Cost Changes

Quoted prices are current at the time of booking. Prices are subject to change if increases occur in national park fees, accommodation rates, government taxes, internal airfare, airport taxes, visa fees, fuel costs, third-party service costs, or currency fluctuations. Where a price increase exceeds 10% of the original quoted price, Winrica Adventures will notify you and provide the option to cancel with a full refund.


21. Claims & Refunds

Except for verifiable extenuating circumstances approved by Winrica Adventures in writing, no refunds will be issued for unused tour services. No refund will be issued for any portion of a trip that has already commenced. All claims must be submitted in writing within 45 days of your tour’s end date and must include a supporting statement from Winrica Adventures or the relevant Tour Operating Company confirming the details of the claim.


22. Limits on Responsibility

Winrica Adventures does not own or operate the third-party entities that provide services during your trip, including accommodations, transportation, food and beverage, equipment, or activities. Accordingly, Winrica Adventures is not liable for the negligent or willful acts of those providers.


To the extent permitted by law, Winrica Adventures is not liable for injury, loss, death, inconvenience, delay, or damage to personal property arising from, but not limited to:


  • Acts of God or force majeure (see Section 10)

  • Disease, illness, or pandemic

  • Acts of war, civil unrest, or insurrection

  • Wildlife encounters or animal activity

  • Criminal or terrorist activity

  • Overbooking or downgrading of accommodations by third-party providers

  • Food poisoning or allergic reactions

  • Mechanical failure or delay of transportation

  • Infrastructure failure
